What is the degree conferral checklist process?


Each graduation term (Fall, Winter, Spring and Summer) the Registrar's Office provides checklists to departments and advisors for students who have applied for degree conferral. Advisors are asked to review the student record and degree audit, and determine if the student is eligible to receive the degree in the given term. After completing the advisor portion of the checklist, it is routed to the Associate Dean for final verification and approval. The Registrar's Office will confer the degree after the term concludes and grades are entered for students.

Beginning with the Spring 2016 degree conferral term, the Registrar's office began implementing an enhanced graduation checklist process. You will notice minor changes to the look of the checklist, as well as changes to the mode of delivery.

These improvements were based on feedback received from chairs, staff in the academic departments, and advisors. We hope this process makes managing this important task easier, and we welcome your feedback.

  1. Checklists will now include the primary and secondary advisor names in the heading (where applicable), and are sorted/separated by advisor to make delivery and sorting easier.
  2. There are two types of undergraduate checklists for clarity: standard checklists and certification program checklists. Certification program checklists include additional data to be used by the Associate Deans and the Registrar's Office to process recommendations to NYSED, and will require no additional action on the part of advisors.
  3. Academic departments will also receive digital copies (PDF format) of checklists. This will give departments the ability to keep a record of checklists received, and give departments the ability to reprint or file the copy.

PDF checklist are being provided to all departments in shared report directories or via encrypted email.  Paper copies will only be developed upon request by the department.
